Primary Functions/Purpose:
Responsible for driving profitable business results and operational excellence by establishing positive relationships with State Fair’s vendor base. The Vendor Coordinator is responsible for procuring new vendors and negotiating with existing vendors while ensuring compliance with policies and requirements and in alignment with strategic objectives and financial goals. The Vendor Coordinator will also assist the State Fair Assistant Manager in securing sponsorships for State Fair and all non-fair events, aid in planning and implementing special events during the State Fair, and be part of a team to develop and support off season events to generate revenue and maximize use of the State Fair Park according to the mission statement.

Performs the administrative functions to secure, support, coordinate, monitor, and execute vendor procurement for the South Dakota State Fair and non-fair events managed and sponsored by the State Fair. Serves as the primary point of contact for vendors. Is responsible for promoting, coordinating, contracting, and managing vendors and supporting activities to achieve maximum facility utilization, and profitability. Position requires working with permanent and seasonal staff, event planners, vendors, other state agencies, and the general public.

The Vendor Coordinator is also responsible for maintaining the State Fair Foundation donor database to include tracking of donations, issuing invoices, written correspondence, and maintaining financial records through the use of QuickBooks.

The Vendor Coordinator will exercise initiative and good judgment in the performance of duties. The position is under the supervision of the State Fair Director.

This position works primarily in traditional office setting. At times will work outdoors on the State Fairgrounds, sometimes in extreme heat or inclement weather. Will be required to stand and walk for extended periods of time, primarily prior to and during the Fair and special events. General hours are 8 a.m. – 5 p.m., with some weekends and evening hours. Prior to and during the annual State Fair, position requires working extended hours and being on call, while working continuous days without a day off.

Licenses and Certifications:
Must have a valid driver's license.
